Post-Arrival Orientation Guide
CLAIR provides the Post-Arrival Orientation for newly-arrived JET Programme participants. To make the most of your work and life in Japan, we ask that you participate fully in every part of this orientation.

Important Information
General Information
Preparation
As there are no work obligations on Sunday, please take the time to rest and recover. On Monday, you will begin your official work duties as a language instructor or local government employee. As this orientation is a business conference, you are expected to be professional, prompt, and in the appropriate business attire for all orientation functions (business casual with a jacket for the opening ceremony, jacket optional for all other workshops). Please be sure to carry a device and something to take notes on during the orientation and carefully check each workshop’s time and location.
Attendance
You are required to attend all orientation sessions. Attendance will be confirmed by reading the barcode on your name tag, which you received on your day of arrival.
Name Tag
Your name tag contains essential information for this orientation (See Orientation Name Tags for more details). Please wear it at all times. If you forget or lose your name tag, please talk to orientation staff.
Carrying Your Residence Card
Ensure that you ALWAYS carry your residence card during your stay in Japan. The police have the authority to ask to see it at any time, and not having it with you can result in a fine or harsher penalty.
Using the Hotel’s Wi-Fi
When using the internet, please use the Wi-Fi at the venue or, when in your hotel room, use the room’s Wi-Fi.

Elevators
Elevators often become very crowded during orientation. (Descending and ascending could take more than 10 minutes.)
For the opening ceremony, come to the venue and be seated at least 10 minutes before the starting time. For the workshop sessions, be sure to allow yourself time to be seated at least five minutes before the scheduled start time.
Safety
While Japan is said to be a relatively safe country, please exercise the same level of caution in Tokyo that you would in any large city.
Schedule/Training Programme
Please confirm session times and locations by checking the ALT, CIR, or SEA schedules.
Digital Training Materials
Training materials can be downloaded or accessed from this orientation webpage. No paper copies will be distributed.
No power outlets or rental batteries will be available at the venue. Please be sure to fully charge your tablet or PC in your room before the workshops, and if necessary, bring spare batteries or a portable charger.
Handouts
Physical handouts will either be included in your JET Bag or distributed at the workshops. If any items are missing from your JET Bag or you require a replacement copy, please enquire at the Information Desk in front of Hana (4F).
Meals
Please make sure to finish your meals within the allotted time. See the meal schedule for more information and locations.
Troubleshooting
Lost and Found
Turn in lost items to the Information Desk in front of Hana (4F) or to the hotel Front Desk. If you have lost your belongings or valuables within the hotel, please check at the hotel Front Desk and the Information Desk to see if they have been turned in.
Medical Assistance
If you feel unwell or require medical assistance, please contact CLAIR (dial 7828 from your hotel room) between 8 a.m. and 6 p.m. or the hotel Front Desk (dial 7 from your hotel room) outside of CLAIR’s business hours.
If you visit a medical institution and receive medical attention, please refer to the Medical Care section regarding the payment of medical expenses.
Emergencies
If there is an emergency during the Orientation, please notify a member of the Orientation staff or the hotel Front Desk.
After Orientation
Check-out and Hotel Bills
You will need to check out of the hotel early Wednesday morning. The accommodation cost is covered by your contracting organisation, but please remember to pay all individual room charges (telephone, beverages, etc.).
JET participants must be prepared to depart for their host prefectures/designated cities directly from the hotel early on Wednesday morning.
Host prefectures/designated cities have arranged transportation you must use at the specified time.
Details regarding meeting times and transportation to your host prefecture will be announced during Tuesday’s Prefectures/Designated Cities Meeting.

A standing buffet-style reception is organised to promote interaction between newly arrived JET Programme participants.
- You will need your name tag to enter the reception venue.
- Please dress business casual. You may also choose to wear a traditional dress from your home country.
- As the elevators will be VERY crowded prior to the reception, please use the escalators if possible and allow up to 20 minutes to descend.
- Attendance is restricted to Post-Arrival Orientation participants only.
- Please refrain from drinking or eating until the kampai or toast.

However, if you have further questions about departure, please ask your host prefecture/designated city via email etc., CLAIR and Nippon Travel Agency cannot answer all questions related to departure travel.

Medical Care During Orientation
You will not receive your medical insurance card from your employer until soon after you arrive at your contracting organisation. Therefore, you are responsible for paying the full price of any medical expenses you incur while you do not have this card. However, once you receive your medical insurance card, you can apply to have the portion of medical expenses covered by your insurance reimbursed, so be sure to keep all receipts.
After Receiving Medical Consultations
Proceed to the payment counter and wait until your name or number is called. How much you pay will depend on what kind of medical treatment you receive, but it is wise to prepare at least 20,000-30,000 yen. Only some hospitals accept payment by credit card.
Be sure to obtain receipts for your medical expenses and do not lose them.
If Issued a Prescription
If you are issued a prescription, visit the designated pharmacy located in the vicinity of the hospital, submit the prescription, and purchase your medication.
Be sure to obtain and keep your receipt from the pharmacy or drug store.
JET Programme Accident Insurance
If you receive treatment for illness or injury sustained after arriving in Japan, access the JET Programme Accident Insurance page of the JET Programme website, download the insurance claim form, and make your claim for the amount not covered by your health insurance. Contact the insurance company within 30 days of the accident or onset of illness.

Luggage Collection – Day 2 (Tuesday)

- If you received instructions at your Host Prefecture/Designated City Meeting to turn in your luggage for collection, you must do so during this time.
- Those who attend their embassy welcome events must arrange their schedules to ensure they bring their luggage to the collection area during the designated time.
Luggage Upon Arrival at the Airport
You were asked to separate your luggage into two parts. The luggage you checked with the travel agents was shipped directly to your contracting organisation for your retrieval after you arrive at your final destination. (You will take care of payment at a later date.)
Luggage at the Orientation Venue
Depending on your destination and mode of travel, it may be necessary to further separate your remaining luggage as explained below.
Set aside for your small bag/suitcase any clothing you will need overnight for Tuesday and for the trip to your host prefecture/designated city on Wednesday, including appropriate business attire for when you arrive at your contracting organisation and any toiletries or other items you will need for Wednesday morning. All other items can be kept in your larger piece of luggage for collection. For further details, please refer to the following chart.
